2. Information We Collect

We collect only the information necessary to provide automated receipt parsing, multi-entity bookkeeping, and tax reporting:

• Account Details: Email address, hashed password, name, and terms acceptance timestamps.
• Business Profile ("Hats"): Entity names, tax form classifications (e.g., Schedule C, Schedule F), fiscal year dates, and business descriptions used strictly to guide AI categorization.
• Financial Records: Transaction amounts, dates, vendor names, and line-item breakdowns.
• Receipt Uploads: Digital receipt images and PDF documents provided for optical processing.

3. AI Receipt Processing & Zero Training Policy

When you upload a receipt image or document for automated parsing:

• Optical Character Recognition (OCR): Text is extracted ephemerally via Google Cloud Vision API.
• Expense Categorization: Extracted line items and your active business context are parsed using secure API endpoints.
• No Model Training: Your receipt images, text extracts, and financial records are never used to train public or commercial AI models. Data is processed solely for your individual account.

4. Data Encryption & Security

We enforce multi-layered defense to safeguard your records:

• Field-Level Encryption at Rest: Sensitive tax identifiers (such as Employer Identification Numbers and Social Security Numbers) and primary bank account identifiers are encrypted using AES-256-GCM authenticated encryption before being saved to the database.
• Encryption in Transit: All communications between your browser, our servers, and third-party APIs are encrypted with modern TLS/HTTPS.
• Payment Security: Payment processing is handled exclusively through Stripe. ManyHats Ledger never sees or stores full payment card numbers.

5. Your Data Freedom & Rights

You retain 100% ownership of your financial records:

• Data Portability: You can download a complete export of all your transactions, line items, and business entities in CSV and JSON format at any time from your Account Settings.
• Account Deletion: You have the right to delete your account and all associated transactions, receipt images, and entity profiles permanently.
